Appointments

These guides provide the steps to set up appointment availability, sync your Google Calendar, schedule appointments, create and manage appointments, report on the appointments, and track appointment attendance. These steps will set up an academic advisor or support staff for creating appointment campaigns, managing the campaign, and streamlining the appointment documentation.

All appointments and subsequent appointment reminders are scheduled in Alaska Standard Time (AKST)/Alaska Time (AKT).

Students view the appointment slots in the mobile app based on their device’s set time zone.

For example, if an appointment slot is available at 12 pm Alaska Time (AKT), and the student’s phone is set to Central Time (CT), the slot will appear for 3 pm CDT on their mobile app.

See the for more information.

Active students can access the mobile app and mobile app desktop to schedule appointments using staff appointment links (PALs), appointment campaign invitations and links, or the scheduling center.

Note: staff who are not active students can not test links in the mobile app.

The staff organizer the student is scheduling with will need current and active
that matches the location, services, and dates the student is using.

If the staff organizer’s Google Calendar and Nanook Navigator calendar are full with busy blocks and appointments, then the student will need to click a couple of weeks out on the scheduling calendar to populate the next 30 days of open appointment slots.

Staff Checklist:

  • Is the student an active student with access to the mobile app?
  • Does my availability include the dates the student is using?
  • Is my appointment availability correct for the appointment type (appointment, drop-in, campaign)?
  • Does my appointment availability include the service the student is using?
  • Are there open/free times on my Google Calendar?
  • Does the student have class during my open times?
  • Did the student click out a couple of weeks from today to populate the next 30 days?

See more information on appointments . Note: Some locations have restrictions in place based on category.

Default appointment lengths are controlled at the Location level, not by individual users. You can view current service settings by location in our . Any changes apply to all users at that location, including all staff and faculty advisors.

That said, staff can set their own appointment length when within their Appointment Campaigns.

These errors occur when one’s appointment availability does not match the specifications of the Define Appointment Campaign page. Please check your appointment availability for the following:

  • Type of Availability: Campaigns in dark gray on your appointment availability.
  • Services: The service listed on the define campaign page must be in the appointment campaign availability.
  • Date Range: The date range on the define campaign page must be within the dates of the appointment campaign availability.
  • Location: The locations listed on the define campaign page must match the appointment campaign availability.

See the "" and sections for more information.

Path 1: The appointment was scheduled outside of Nanook Navigator or the student dropped-in with no appointment.

  • Appointments scheduled outside of Nanook Navigator are treated as drop-ins. You can associate them with your campaign by completing an that matches your campaign criteria (location, date range, and service). As you fill out the summary, a new dropdown will appear allowing you to select and associate the campaign. See for a screenshot and additional detail.

Path 2: The appointment was scheduled in Nanook Navigator but not through the campaign link (e.g. via PAL, Appointment Center, Staff, wrong appointment summary, etc.), and it does match the campaign criteria (Scheduling Window Dates, Location, Service).

  • Use the tab to associate these appointments with the campaign. Open the tab, select the appointment, and choose Associate Appointments from the Actions menu. The appointment will then be counted toward your campaign data.

Path 3: The appointment was scheduled in Nanook Navigator but not through the campaign link (e.g. via PAL, Appointment Center, Staff, wrong appointment summary, etc.), and it does not match the campaign criteria (Scheduling Window Dates, Location, Service).

  • The appointment details will need to be updated to match the campaign specifications. Staff can through the Staff Home Appointments Tab to access and update the report details accordingly (location, date range, and service).

Alerts, Referrals, & Case Management

Alerts can be configured to automatically open a Case, which is essentially an electronic case file where staff can coordinate for a single student across departments. A case is an electronic “case fileâ€ where staff and instructors across departments (e.g., financial aid, bursar, tutoring, and advising) can coordinate and collaborate on the follow-up with students. Cases create a more formalized next step for action or intervention on an issued alert.

Case Management

Include Comments in Case Closed email to Alert Issuer

Detailed comments include: outreach methods (text, email, call, etc.), more details on the results of the outreach, how the student engaged, next steps for the alert issuer and student, what steps will be taken next by the case owner (support will continue, an appointment is scheduled, etc.).
